Dropbox file requests: how they work and when to use something else

A Dropbox file request is a link that lets anyone upload files into a folder in your Dropbox, with or without a Dropbox account, up to 2 GB per file on Basic, Plus and Family or 250 GB on Professional, Essentials and team plans. It is a good way to collect files you will keep. For sensitive documents you only need for a few days, a temporary intake inbox with watermarked previews and automatic deletion fits better.

How to create a file request in Dropbox

  1. Sign in at dropbox.com and click File requests in the left sidebar.
  2. Click New request, then add a title and, if you like, a description.
  3. Check the destination folder under Folder for uploaded files, or click Change Folder.
  4. Optionally set a deadline (Professional, Essentials and team plans only) and a password.
  5. Click Create.
  6. Enter the email addresses of the people you are asking, or copy the link with Share a link instead, then click Share.

To edit or close a request later, open the Opened tab, click the request and choose Save or Close request.

When a temporary intake inbox fits better

A file request solves collection. It does not decide what happens next. The files become ordinary Dropbox files, available wherever that folder is synced or shared, and kept until someone deletes them. That is fine for photos, drafts and project deliverables. It is less suitable for documents you only need to look at once:

When Dropbox is the better choice

What Sunset Docs does not do

It does not store files permanently, sign documents or replace a document management system. It cannot stop someone photographing a screen; the watermark discourages and traces reuse. Health or other special-category data, criminal records, children's data, full card numbers, passwords and private keys are not supported by default. Encrypted database backup residuals expire within 30 days, not instantly.

Frequently asked questions

Does the person uploading need a Dropbox account?

No. Dropbox says anyone can send files to a file request, with or without an account. Uploaders who are not signed in may be asked for their name and email.

What is the Dropbox file request size limit?

Up to 2 GB per file if the person who created the request is on Basic, Plus or Family, and up to 250 GB on Professional, Essentials, Business, Business Plus, Standard, Advanced and Enterprise. Uploaded files also count against the requester's storage.

Can uploaders see other files in the folder?

No. Dropbox says uploaders do not see other people's files in the target folder and cannot browse your account. The folder is private unless you share it.

Do files from a Dropbox file request delete themselves?

Dropbox's file request help does not describe automatic deletion. Uploaded files are ordinary files in your folder and stay there until someone removes them or your own retention rules do.

Can Sunset Docs receive large files like Dropbox?

No. Sunset Docs accepts up to 10 files per submission, 20 MB each and 25 MB in total, in PDF and common image formats. For video, design files or large archives, a Dropbox file request is the better choice.
